Receptionist / Office Administrator

Position Title:               Receptionist / Office Administrator

Salary Range:               $22 – $24 per hour (based on experience/skills)

Position Summary

We are seeking a professional, organized, and customer-focused Receptionist / Office Administrator to join our growing team. This role serves as the first point of contact for clients and visitors while supporting daily office operations. The ideal candidate will demonstrate strong attention to detail, the ability to multitask, and a proactive, team-oriented approach.

Key Responsibilities

  • Serve as the front-line representative by greeting visitors and managing incoming calls
  • Answer, screen, and route phone calls and front desk inquiries professionally
  • Welcome clients and manage employee check-ins/check-outs
  • Perform general administrative duties including data entry, filing, scanning, and mail distribution
  • Maintain office supplies inventory and ensure front desk area is organized and presentable
  • Prepare and assemble physical reports for mailing
  • Assist with lab billing processes and credit card retrieval
  • Provide administrative and project support to staff as needed
  • Maintain confidentiality of sensitive information at all times

Qualifications & Requirements

Administrative Support – Lab & Finance

Position Summary

The Administrative Support – Lab & Finance position provides essential administrative, reception, laboratory, and training coordination support to ensure efficient daily operations. This role serves as the first point of contact for visitors and callers while supporting laboratory sample processing, training coordination, recordkeeping, and general office administration.

Essential Duties & Responsibilities
  • Serve as the primary receptionist and manage front desk operations
  • Answer and direct incoming phone calls professionally
  • Handle mailing, faxing, scanning, copying, and filing
  • Log in and receive laboratory samples following established procedures
  • Maintain accurate laboratory and administrative records
  • Manage office attendance logs, including arrivals and departures
  • Order, track, and manage office supplies and materials inventory
  • Coordinate training schedules and maintain student records
  • Prepare and distribute course materials
  • Interact with government regulators regarding training and compliance matters
  • Provide general administrative support to finance-related functions as needed
Qualifications & Requirements
  • High school diploma or equivalent required; associate degree preferred
  • 2–3 years of administrative or office support experience
  • Experience in a regulated or laboratory environment preferred
  • Strong organizational and communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)

Environmental Health and Safety Project Manager

Position Title:  Environmental Health & Safety (EH&S) Project Manager

Reports To:      President

Location:           Albany, NY area

Salary Info:      $32.00 – $35.00 (depending on experience/skills), Overtime available

Position Summary

The Environmental Health & Safety (EH&S) Project Manager is responsible for supporting occupational health and safety, industrial hygiene, and environmental projects including asbestos, lead, mold, and related services. This role ensures the successful execution of field and project work while meeting or exceeding client expectations.

The EH&S Project Manager will work with a diverse client base including private industry, municipalities, school districts, universities, and government agencies.

Key Responsibilities

Field & Project Work

  • Serve as Site Health & Safety Officer on environmental remediation and construction projects
  • Monitor contractor compliance with site-specific Health & Safety Plans (HASPs), specifications, and regulatory requirements
  • Perform employee exposure monitoring and Community Air Monitoring Plan (CAMP) monitoring
  • Conduct asbestos surveys, mold assessments, and lead-based paint (LBP) inspections
  • Perform environmental and industrial hygiene sampling (air, water, soil) including:
    • Asbestos, Lead, IAQ, Metals, VOCs, PCBs, microbiological contaminants, and other materials

Assessments & Reporting

  • Perform Phase I & II Environmental Site Assessments under management direction
  • Conduct Indoor Environmental Quality (IEQ) investigations
  • Prepare detailed written reports of findings for clients
  • Track, process, and manage analytical samples

Compliance & Safety

  • Ensure equipment is properly calibrated and maintained
  • Conduct routine inspections (fire extinguishers, eyewash stations, hazardous materials areas)
  • Participate in EH&S audits and track corrective actions
  • Maintain knowledge of OSHA, EPA, NYSDEC, NYCDEP, and other regulatory requirements
  • Work safely at all times and promote a culture of safety

Client & Team Collaboration

  • Communicate effectively with clients and internal teams regarding scheduling, reporting, and project coordination
  • Support development and delivery of EH&S training programs
  • Provide consultation on hazardous material handling, disposal, and compliance documentation
  • Maintain accurate, organized project files and documentation

General Responsibilities

  • Demonstrate professionalism, ethical conduct, and reliability
  • Maintain confidentiality of company and client information
  • Care for company equipment and resources
  • Work overtime, weekends, or holidays as required by client needs
  • Travel and stay overnight as needed for project assignments

Minimum Qualifications

  • Associate’s degree in Industrial Hygiene, Occupational Health & Safety, Environmental Science, or related field (Bachelor’s degree preferred)
  • Minimum of 1 year of relevant experience
  • Valid driver’s license and reliable transportation
  • Ability to pass medical evaluation and pulmonary function test for respirator use
  • Ability to lift up to 30 lbs.
  • Ability to work independently with minimal supervision
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office and ability to learn specialized software

Work Requirements

  • Ability to wear respiratory protection and personal protective equipment (PPE)
  • Ability to be on-call (infrequent) for emergency response situations
  • Ability to travel and work extended assignments when required
  • Ability to work in various environmental and field conditions
